10 questions to ask before you hire an appointment-setting company

    By the Renolist team · Oct 28, 2026 · 2 min read

Before you hand an outside company your reps' calendars, get clear answers on what you're paying for, who carries the risk when an appointment falls through, and whether you can control how many you get. These ten questions cover it.

    1. What exactly am I paying for?

A lead, a booked appointment, or an appointment that sat? A good answer is a specific definition of a billable appointment, in writing.

    2. What happens if the homeowner doesn't show?

A good answer: you don't pay for it, or you get a replacement, through a simple process with a clear deadline.

    3. Who qualifies the homeowner, and on what criteria?

A good answer names the criteria (owns the home, in your area, a project you sell, a real timeline) and says a person checks them before booking, not just a form.

    4. Will everyone who decides be at the appointment?

A good answer: they confirm it before booking, and an appointment without them doesn't count.

    5. Is the homeowner shared with or resold to other companies?

A good answer: each homeowner goes to one remodeler, and is never resold.

    6. Where do the homeowners come from, and who pays for the advertising?

A good answer is specific about the channels and tells you whether the ad spend is on you or on them.

    7. What are homeowners promised on my behalf?

A good answer: nothing your rep has to honor, such as a discount or special pricing, unless you've agreed to it.

    8. Can I set how many appointments I get, and when?

A good answer: you set a target for a defined period, and they track delivery against it.

    9. How do appointments reach my team?

A good answer: booked into the availability you set, your coordinator notified right away, and the details landing in your CRM or a dashboard.

    10. What happens if it isn't working?

A good answer: no long-term lock-in, a clear way to stop, and some of the risk of the first period carried by them, not just you.
